Established in 2012, Signature Automation has experienced continuous growth in our relatively short history. We now have offices in Dallas, San Antonio, and Houston, Texas, and our service capabilities include all aspects of electrical, instrumentation, and controls engineering design; industrial control system programming; and IT infrastructure design, networking, and consulting services. Our work primarily serves municipal water/wastewater utilities, state and local jails, detention/corrections facilities, as well as private clients.


OVERVIEW
The Project administrator will assist the project managers by handling administrative tasks, managing documentation, and facilitating communication to ensure projects run smoothly and are completed on time and within budget. 
 

Primary Duties/Responsibilities

  • Perform quality control reviews of technical documents
  • Create, maintain, and organize project documentation, such as plans, reports, and meeting minutes.
  • Prepare project reports, presentations, and other materials to communicate project status and performance
  • Proofread, edit, and produce project deliverables
  • Organize and maintain project files (electronic and hard copies)
  • Facilitate communication between team members and clients
  • Coordinate internal meetings, including calendar management and catering orders
  • Manage timelines, schedules and deadlines
  • Contribute to the monitoring of project progress and adherence to established standards and procedures
  • Identify areas for process improvement and  contribute to the development and implementation of best practices
  • Assist with budget tracking and expense reporting
  • Other duties and responsibilities as assigned

Qualifications/Requirements

  • Minimum of 5 years of relevant administrative experience, preferably in the A/E/C industry
  • Proficient in Microsoft Office Suite
  • Expert knowledge of MS Word; must be familiar with styles
  • Knowledge of MS Word content controls and template development preferred
  • Exceptional verbal and written communication skills
  • Strong editing and proofreading skills
  • Meticulous in handling documentation, data entry and other administrative tasks
  • Detail oriented with exceptional organizational and time management skills
  • Ability to identify and resolve issues that may arise during the project lifecycle
  • Ability to prioritize and manage time effectively
  • Ability to work independently
  • Must be available to work out of the Dallas office, Monday through Friday 8:00 AM – 5:00 PM
